This section of our website is designed to help you understand what we do with information about people, referred to as “personal data”.

As we undertake a wide range of activities, we’ve divided this privacy information into a number of different sections, reflecting the different ways you might interact with us, in order to help you get to the information you want quickly.

Please note that on occasions we may process “special categories” of information about you.  This is information revealing racial or ethnic origin, political opinions, religious or philosophical beliefs or trade union membership, and the processing of genetic data, biometric data for the purpose of uniquely identifying a natural person, data concerning health or data concerning a natural person’s sex life or sexual orientation.

A visitor

We store and use your information for the purposes of managing and operating our buildings.

The information we collect about you and why we collect it

In order to manage and operate our buildings, we will collect and store the following information about you: your name, contact details and details of your visit to the site.

We use CCTV at our buildings for the purposes of crime prevention, security, complaint handling and health and safety and, accordingly, will capture imagery of visitors to our buildings.

Who we share it with

We only share the information we collect with the following third parties:

·         our suppliers to the extent it is necessary for them to perform their services to us;

·         where the information relates to health and safety incidents, security events or any matter giving rise to an insurance claim or relevant to our insurance coverage, our insurers, lawyers, insurance brokers and any other related third parties; and

·         the police in the event of a criminal event occurring.

How long we keep it for

The legal basis for processing it

We process this information on the basis of our legitimate interests:

·         we have a legitimate interest in wishing to manage and operate effectively our buildings, to ensure that those buildings are safe and secure for all persons visiting them, to deter and detect crime and to be able to assist and respond to any issues which could be resolved through the use of CCTV;

·         to be able to do so, we need to understand details of who is in the building; and

·         the processing we undertake is limited and concentrates solely on your use of the building.  Accordingly, it doesn’t unduly interfere with your interests, rights or freedoms.

A customer

If you are one of our customers, we collect and hold information about you related to our management and administration of our contracts with you.

The information we collect about you and why

In order to carry out due diligence on you and/or your company (if you are a credit account customer or you apply to open a credit account with us) we will collect and process your contact details, bank account details and financial information relating to your or your company.

Where you are a customer (or where if it is a company, you are its representative) and you purchase goods from us, then to manage and perform our contract with you for the supply of goods, we may collect and store the following information about you and your company: your name, address and contact details.

We will use your information:

·         if relevant, to register and manage your credit account with us;

·         to manage and perform our contract with you;

·         to resolve any complaints you may have with us;

·         to communicate with you regarding the contract; and

·         to send you our newsletter and information about other goods and offers which we think might be of interest to you.

Who we share it with

We only share the information we collect with the following third parties:

·         we will provide your information to delivery couriers in order to deliver the goods you have ordered;

·         if you have applied for a credit account with us, we will share your information with credit  reference agencies in order to establish your credit worthiness; and

·         we will also share your information with third party providers for them to provide their services to us.

How long we keep it for

The legal basis for processing it

Except in the circumstances highlighted below, if you are an individual, sole trader or in a partnership, we process this information on the basis that it is necessary to perform our contract with you.

Where we collect information about you for the purposes of carrying out a credit reference check, we do so on the basis that it is in our legitimate interests as a business to credit check our account customers and potential customers in order to safeguard our finances. We consider that our use of your information is proportionate because we will only pass limited information to reputable credit reference agencies.

If you are an individual within a corporate organisation, except in the circumstances highlighted below, we process this information on the basis of our legitimate interests:

·         we have a legitimate interest in wishing to interact with you and to administer and manage the performance of a contract for the purchase of goods entered into with your company

·         to be able to do so, and to be able to contact you, we need access to information about you and your organisation

·         the processing we undertake is limited and concentrates on the management and performance of our contract with your company.  Such processing would be reasonably expected by you and accordingly it doesn’t unduly interfere with your interests, rights or freedoms.

Where we have collected information about you for the purposes of marketing communications, we are processing your information on the basis that you have consented to receive marketing from us.

A supplier

We store and use your information for the purposes of concluding and managing contracts for the supply of other goods and services that our business may need.

The information we collect about you and why we collect it

In order to conclude and manage contracts with our suppliers, where you are a contractor or supplier (or where if it is a company, you are its representative) we collect and store the following information about you and your company: your contact, and bank account, details.

Who we share it with

We only share the information we collect with our suppliers to the extent it is necessary for them to perform their services to us.

How long we keep it for

7 years

Legal basis for processing it

Except in the circumstances highlighted below, if you are an individual, sole trader or in a partnership, we process this information on the basis that it is necessary to perform our contract with you.

If you are an individual within a corporate organisation, except in the circumstances highlighted below, we process this information on the basis of our legitimate interests:

·         we have a legitimate interest in wishing to interact with you and to administer and manage the performance of a contract for the purchase of goods and/or services entered into with your company ;

·         to be able to do so, and to be able to contact you, we need access to information about you and your company; and

·         the processing we undertake is limited and concentrates on the management and performance of our contract with your company.  Accordingly it doesn’t unduly interfere with your interests, rights or freedoms.

A competition entrant

We store and use your information for the purposes of entering you into a competition and confirming whether you have won.

The information we collect about you and why

We collect and store details such as your name, twitter handle, email address, telephone number, delivery address, date of birth, clothing size, employer name and contact details and your tutor name and contact details in order to enter you into the competition or prize draw and to communicate any successful entries and winners.

If you are a successful competition entrant and you are invited to participate in the competition or you are a competition prize winner we may also need you to provide a copy of the personal information on your passport in order to allow you to participate in the competition or to issue the prize.

We may also collect and use your photograph for use in marketing publications.

Who we share it with

We share this data with our corporate PR and communications agency to the extent it is necessary for them to perform their services to us.

If you have consented to us taking your photograph for use in marketing publications, we will share your information with a third party photographer for the purposes of arranging for the photograph to be taken.

How long we keep it for

1 year

The legal basis for processing it

We process this information on the basis that you have provided your consent to us doing so at the time of entering the competition.

Where we take your photograph for use in marketing publications, we are processing your information on the basis that you have consented to us using your photograph via our “permission to use your photograph consent form”.

The information we collect about you and why

CVs may be submitted to us through recruitment agencies, through our website or to individuals within our organisation.  Should they be submitted to any individuals within our organisation they will be passed on to our HR team [and the individual who originally received the CV will immediately delete it from their email].

We will store and assess all the information held within your CV for recruitment purposes.

Who we share it with

Should the CV have been submitted via a recruitment agency then that agency will have a copy of the CV itself.

How long we keep it for

Until a decision has been made regarding a job offer.

The legal basis for processing it

As you have provided the CV to us, either directly or through a recruitment agency, then you will have consented to us processing the data.

To the extent that the CV contains special categories of data, then you will have explicitly consented to us processing the data.

Bloggers, journalists and people of interest

We collect and store information about bloggers, journalists and people of interest.

What data we collect about you and why we collect it

We collect and store your name, email address, contact details, address and any information publicly available for the purposes of sending you samples of our goods.

Who we share it with

·         the information collected is shared our corporate PR and communications agency to the extent it is necessary for them to perform their services to us;

·         we will provide your information to delivery couriers in order to deliver the goods you have won; and

·         if you have consented to use taking and using your photograph, we will also share your information with a third party photographer for the purposes of arranging for your photograph to be taken.

How long we keep it for

Until the PR purpose has been completed.

The legal basis for processing it

We do so on the basis of our legitimate interests:

·         we have a legitimate interest in wishing to promote our business to individuals involved in the media and social media;

·         to be able to do so, and to be able to contact you, we need access to communicate with you; and

·         the processing we undertake is limited and is within the scope of your professional role within media or social media.  Accordingly it doesn’t unduly interfere with your interests, rights or freedoms.

A visitor to our website

If you are a visitor to our website then we will collect information from you by means of cookies as well as by giving you the opportunity to subscribe for emails or alerts or to submit CVs.

What data we collect about you and why

If you contact us through our “contact us” form on our website or you email us, we will collect and store details of your name, email address and any other information you provide. We will use this information to provide the information requested.

General approaches to processing

Your rights

The law gives you certain rights in respect of the information that we hold about you.  Below is a short overview of those rights.

·         With some exceptions designed to protect the rights of others, you have the right to a copy of the personal data that we hold about you.  We may make a reasonable charge for additional copies of that data beyond the first copy, based on our administrative costs.  Where the data is data that you have given to us, you have the right to receive your copy of it in a common electronic format, and to provide copies of it to other people if you wish.

·         You have the right to have the personal data we hold about you corrected if it is factually inaccurate.

·         In some limited circumstances, you have the right to have personal data that we hold about you erased (the right to be forgotten”).  This right is not generally available where we still have a valid legal reason to keep the data (for example, for security reasons or because we are obliged to do so by law).

·         You have the right to require us to stop using your personal data to send you marketing information.

·         You also have the right in some circumstances to request that temporary restrictions are placed on how we process your personal data, For example if you contest its accuracy or where we are processing it on the basis of our legitimate interest and you contest our assessment that our interest overrides your rights.

·         If we are processing your personal data on the basis of your consent, you have the right to withdraw that consent at any time, in which case we will stop that processing unless we have another legal basis on which to continue.
